CourierSeal
Privacy Policy
How CourierSeal collects, uses, shares, and protects information when providing its document-delivery service.
Effective and last updated September 2, 2026.
This Privacy Policy explains how CourierSeal LLC (“CourierSeal,” “we,” “us,” or “our”) handles personal information when you visit courierseal.com, create an account, or use the CourierSeal fax and document-delivery service (collectively, the “Service”). CourierSeal LLC is the legal operator of the Service. This policy also describes the choices and rights that may be available to you.
This policy does not govern third-party websites or services that have their own privacy policies. If you use CourierSeal for an organization or to send information about another person, you are responsible for having the authority to provide and process that information.
Our role
CourierSeal generally determines how account, billing, website, and service-administration information is used. For document contents and recipient information submitted by a customer, CourierSeal generally processes that information to provide the Service at the customer’s direction. Customers remain responsible for their own privacy notices, permissions, and legal obligations concerning the documents and personal information they send through CourierSeal.
Information we collect
The information CourierSeal processes may include:
- Account information: your name, email address, email-verification status, account role, authentication records, session information, and account timestamps.
- Fax and document information: documents you upload or receive; sender and destination fax numbers; recipient and organization names; document names, sizes, hashes, and page counts; cover-sheet information; references; internal notes; and transmission status, timing, error, and retry information.
- Contacts: recipient names, organizations, countries, and fax numbers that you choose to save in CourierSeal.
- Delivery and verification records: delivery-network transaction identifiers and callbacks, event history, document-access requests, certificate manifests, cryptographic hashes and signatures, and optional trusted-timestamp evidence.
- Subscription information: your selected plan, subscription status, billing period, cancellation status, and Stripe customer, subscription, price, checkout, and event identifiers. Payment-card and bank-account details are collected and handled by Stripe through its hosted pages; CourierSeal does not store complete payment-card numbers.
- Technical and usage information: IP address, browser or device information, request and security logs, authentication-cookie data, actions taken in the Service, and usage totals such as sent and received pages.
- Communications: information you include when you contact us for support, submit a privacy request, or otherwise communicate with CourierSeal.
Fax documents and related fields may contain sensitive or regulated information selected by the customer. CourierSeal does not require customers to include sensitive information unless it is necessary for their intended delivery.
How we collect information
- From you: when you create an account, upload a document, enter fax or contact details, purchase a subscription, or contact us.
- Through the Service: when you sign in, navigate the application, request a document, or send and receive a fax.
- From recipients and communications networks: when a fax endpoint or delivery provider supplies routing, status, inbound document, or delivery evidence.
- From service providers: such as subscription and payment status from Stripe and number or fax status from the communications provider.
How we use information
CourierSeal uses personal information to:
- create, authenticate, maintain, and secure accounts;
- provide workspaces and send, receive, store, display, and retrieve fax documents;
- provision and manage fax numbers and route communications through the delivery network;
- create delivery histories, document fingerprints, and verifiable delivery certificates;
- administer subscriptions, redirect customers to Stripe’s hosted checkout and billing portal, and maintain entitlement and usage records;
- send verification codes, delivery notifications, service messages, and responses to support requests;
- prevent abuse, enforce usage limits, troubleshoot failures, reconcile provider events, and protect the Service and its users;
- comply with law, respond to valid legal process, resolve disputes, and establish or defend legal claims; and
- maintain and improve the reliability and usability of the Service using operational information.
Where applicable law requires a legal basis for processing, our bases may include performing a contract with you, taking steps at your request before entering a contract, pursuing legitimate interests such as operating and securing the Service, complying with legal obligations, and consent where required. You may withdraw consent for future processing where consent is the applicable basis.
How we disclose information
We disclose personal information only as reasonably necessary for the purposes described in this policy, including to:
- Fax recipients: the destination receives the fax document and any cover-sheet information you choose to send.
- Communications providers: Telnyx supports current fax delivery and number provisioning. FAXAGE may process legacy fax traffic. These providers receive document contents and routing or delivery information needed to transmit and receive faxes.
- Infrastructure providers: providers such as Railway support application hosting and related infrastructure. A configured private S3-compatible storage provider stores fax PDFs, and an email provider delivers verification and service messages.
- Billing provider: Stripe hosts checkout and account billing pages and processes payment and subscription information.
- Trust and security providers: when configured, a timestamp authority processes cryptographic signature material used to create independently verifiable timestamps. It does not need the fax PDF to perform that function.
- Professional advisers and authorities: lawyers, accountants, insurers, regulators, courts, law enforcement, or other parties when reasonably necessary to comply with law, protect rights and safety, or establish or defend legal claims.
- Business transactions: a prospective or actual buyer, investor, successor, or other participant in a financing, merger, acquisition, reorganization, or sale of assets, subject to appropriate confidentiality and legal requirements.
Service providers may process information only for their contracted services and their own legally permitted purposes. Their processing is also governed by their applicable terms and privacy notices.
No sale or behavioral advertising
CourierSeal does not sell personal information for money and does not share personal information for cross-context behavioral advertising. CourierSeal does not use fax documents or account information to build advertising profiles, and the current Service does not use advertising or analytics cookies.
Cookies and authentication
CourierSeal uses cookies and similar browser storage that are necessary to authenticate users, maintain sessions, protect requests, and operate account features. Disabling these technologies may prevent sign-in or other parts of the Service from working. Third-party pages, including Stripe’s hosted checkout and billing portal, may use cookies under their own privacy policies.
Delivery certificates and verification links
CourierSeal may create a delivery certificate containing fax metadata, including sender and destination numbers, recipient and organization names, document name and fingerprint, reference, page count, and delivery times. Customers decide whether to download or share a certificate. A person with a valid verification link or certificate ID may be able to view limited verification facts, including a masked destination number, timestamps, page count, and cryptographic hashes. The fax document itself is not displayed on the public verification page.
Retention and the audit trail
CourierSeal is designed to preserve a durable audit trail. Fax documents, transmission metadata, delivery evidence, document-access records, audit events, and certificate revisions are retained indefinitely so customers can continue to access and verify historical delivery records. Canceling a subscription does not delete the account or these records.
We may delete or de-identify information when required by law, in response to a valid privacy request, when continued retention is no longer lawful or necessary, or as part of security, integrity, or service-closure procedures. Some information may remain in backups for a limited period or be retained where necessary to comply with legal, tax, accounting, fraud-prevention, dispute-resolution, or evidentiary obligations. Deleting audit information may affect the availability or verifiability of historical records.
Security
CourierSeal uses administrative, technical, and organizational safeguards designed to protect personal information. Current measures include passwordless email verification, hashed one-time codes, authenticated workspace access, private document storage, short-lived signed document links, request and rate controls, provider callback verification, and cryptographic document fingerprints. No method of transmission or storage is completely secure, and CourierSeal cannot guarantee absolute security. Please protect your email account and verification codes and notify us if you suspect unauthorized access.
International processing
CourierSeal and its service providers may process information in the United States and other countries where they operate. Those countries may have privacy laws that differ from the laws where you live. Where required, CourierSeal will use an appropriate legal basis or safeguard for an international transfer.
Your privacy rights
Depending on where you live and subject to applicable exceptions, you may have the right to request access to, correction of, deletion of, or a portable copy of personal information about you. You may also have rights to restrict or object to certain processing, withdraw consent, appeal a denied request, or complain to your local data-protection authority.
To make a request, email support@courierseal.com. Describe your request and the account it concerns, but do not email fax documents, verification codes, or unnecessary sensitive information. We may need to verify your identity and authority before acting. We will respond within the period required by applicable law and will not discriminate against you for exercising an applicable privacy right.
Notice for U.S. state residents
State privacy laws may provide eligible residents with rights to know or access personal information, correct inaccuracies, request deletion, obtain a portable copy, and opt out of certain sales, targeted advertising, sharing, or profiling. CourierSeal does not sell personal information, use it for targeted advertising, or profile individuals in furtherance of decisions that produce legal or similarly significant effects.
The categories collected are described in “Information we collect.” CourierSeal uses and discloses those categories for the business purposes described in “How we use information” and “How we disclose information.” Document contents may include sensitive personal information at a customer’s direction; CourierSeal uses that information to provide and secure the requested Service, not to infer characteristics about individuals.
You or an authorized agent may submit an applicable request using the email address above. If we deny an appealable request, you may appeal by replying to our decision and stating that you wish to appeal. These rights apply only to the extent CourierSeal is subject to the relevant law and the request is not exempt.
Children’s privacy
The Service is intended for business users and is not directed to children under 13. CourierSeal does not knowingly collect personal information directly from children under 13. If you believe a child has provided account information to us, please contact us.
Third-party services and links
The Service may link or redirect to third-party services, including Stripe. CourierSeal does not control those services or their privacy practices. Review their notices before providing information directly to them.
Changes to this policy
We may update this Privacy Policy as the Service, our providers, or legal requirements change. We will post the revised policy here and update the effective date. If a change is material, we may provide additional notice through the Service or by email where appropriate.
